One of the most common delays in international shipping to India happens long before the plane even lands. It occurs during the Know Your Customer (KYC) verification process. When a recipient uploads their ID, the system automatically flags a mismatch if the delivery address on the shipping label doesn’t perfectly align with the address on the document.
India’s Central Board of Indirect Taxes and Customs (CBIC) strictly requires everyone receiving international imports to verify both their identity and their current address.
Generic shipping advice usually just says, “make sure your details are correct.” In the real world, address rejections usually happen because of a few very specific situations:
If an automated portal rejects a submission because of an address mismatch, do not just re-upload the same document, hoping for a different result. Instead, follow this step-by-step process to fix the issue:
Log directly into our courier KYC portal. Check whether the rejection is an Automated Data Validation Error (like a mismatched PIN code or state) or a Visual Inspection Failure (like blurry text, cropped edges, or unmasked digits).
If the address on the permanent ID cannot match the shipping label, the recipient needs to upload a secondary, government-approved document that links them to the delivery location.
If the shipping label contains a typo that cannot be fixed online, the shipping office at the origin must submit a formal Import General Manifest (IGM) Amendment. This electronically updates the official manifest data before customs clearance can begin.
⚠️ Critical Compliance Note: When uploading an Aadhaar card to any Indian KYC portal, the recipient must mask (hide) the first 8 digits of the ID number. Only the final 4 digits should be visible. By law, portals must reject unmasked cards to protect privacy.
If you need to provide supplementary proof under Step 2, upload one of these valid documents showing the delivery address exactly as it appears on the shipping label:
To stop these issues before the package even leaves the origin city, use these formatting rules when booking a shipment:
In Indian logistics, the 6-digit PIN (Postal Index Number) code determines the sorting hub and customs jurisdiction. The PIN code on the label must match the secondary proof of address exactly. While automated systems often overlook minor street name typos, an incorrect PIN code triggers an immediate system rejection.
The recipient’s name on the shipping invoice must match the name on their ID document exactly. Do not use nicknames, initials, or business abbreviations if a personal ID is being used for customs.
For time-sensitive shipments, send the KYC upload link to the recipient the moment the booking is confirmed. Getting the recipient to upload and verify their documents while the package is still in transit prevents terminal delays and costly storage fees at the destination hub.
An address discrepancy notice does not mean a shipment is permanently stuck. It just means the details need a manual correction. By making sure the recipient has the right secondary proof of address ready—and by locking in exact name and PIN code matches at the start—cross-border shipments will clear India Customs smoothly and arrive on time.
